Current university email settings
The current service uses Mailcow and SOGo webmail. University sign-in and an App Password serve different purposes; use an App Password in email clients.
Mailbox quotas are 1 GB for students and 5 GB for staff and faculty.
The site owner confirmed these quotas and connection settings on 25 October 2026. An authenticated connection has not been tested.
Official Mailcow guidance and university confirmation pending
Create an App Password: official documentation
- Sign in to the Mailcow account-management interface, which is separate from SOGo webmail.
- Open Mailbox Settings, then the App Passwords tab.
- Generate a new App Password and use it in the email client; your username is your full email address.
This route comes from official Mailcow documentation. The university panel URL, access and installed-version button labels have not been checked. Ask support for the access route if the option is unavailable.

Awaiting university confirmation
- Automatic account creation: with OIDC and a matching attribute-to-mailbox-template mapping, Mailcow can create an account at first login. Whether this is enabled and how to request a university account remain unconfirmed. Official source: OIDC
- Quarantine: Mailcow provides a mailbox-user permission for processing quarantine (quarantine_acl). University users’ viewing/release permissions and access route remain unconfirmed; release is not guaranteed for every user. Official source: Quarantine
- Automatic forwarding: SOGo administrators control whether forwarding is enabled and which destinations are allowed. University permission to forward to personal email remains unconfirmed; no activation instructions are provided. Official source: SOGo (PDF)
Sign in to webmail
Sign in through the university account portal and select email, or use the direct address for your role.
Your mailbox must be active; a UID account alone does not guarantee that a mailbox has been created. Check email activation
These are sign-in URLs; an email app uses your full email address as its username. Enter your SSO password only on the official university sign-in page; use an App Password in email apps.
Send and receive in webmail
- Open Inbox to read received messages.
- Select New Message or New Email.
- Enter the recipient address.
- Write the subject and message.
- Attach an allowed file if needed.
- Select Send.
- Select Sign out when finished on a shared device.
Sent contains sent messages, Drafts contains drafts and Trash contains deleted messages. Labels may differ by interface version or language.
Create an app password
Use an App Password for IMAP/SMTP clients in the supplied setup. Do not enter your university SSO password in the email app.
The mailcow account-management panel differs from SOGo webmail. The exact panel URL and university interface labels are not confirmed. If App passwords is missing, ask the IT Center for the correct access route.
- Open Mailbox Settings, then the App Passwords tab.
- Select Create app password.
- Name the device or app in App name, for example Outlook Laptop.
- Select Generate to create a unique password.
- Repeat the generated password in Password (repeat) if shown.
- For this task, allow only IMAP and SMTP.
- Check Active and select Add.
- Store the password securely and use it only in the app on that device.
Use a different password for each device. Revoke it in the official panel if the device is lost or retired. This site does not collect passwords or account details.
Set up Outlook or another email app
These are general manual-configuration steps; controls differ in Outlook, Thunderbird, Apple Mail and mobile versions.
Use your full email address as the app username. Replace username in the table examples with your own username. These hostnames were supplied; a webmail URL alone does not establish IMAP/SMTP availability.
| Setting | Students | Faculty and staff |
|---|---|---|

| IMAP server | webmail.ilam.ac.ir Select the text to copy it. | mail.ilam.ac.ir Select the text to copy it. |

| Outgoing encryption | STARTTLS | STARTTLS |
| SMTP authentication | Required; full email address and App Password | Required; full email address and App Password |
| Password | App Password | App Password |
- Select Add account in your app.
- Enter your full university email address.
- If automatic setup is incomplete, choose Manual configuration and IMAP.
- Enter the incoming server, port and encryption from the table.
- Enter the outgoing server, port and encryption from the table.
- Enable SMTP Authentication.
- Use the App Password for that device in Password.
- Save the settings.
Check the result
- Let the folders synchronize.
- Send a non-sensitive test message to an address you can check.
- Verify receipt in the destination mailbox; Sent alone does not prove delivery.
- Reply from that address and check receipt in the university mailbox.
Resolve common errors
Repeated password prompts or authentication errors
Check the full email address, App Password status and IMAP/SMTP permissions. Use account recovery for a forgotten SSO password; resetting UID is not a substitute for creating an App Password.
Receiving works, sending fails
Check the outgoing hostname, port 587, STARTTLS, SMTP authentication and the App Password SMTP permission.
Sending works, receiving fails
Check the incoming hostname, port 993, SSL/TLS and IMAP permission.
Webmail does not open
Check internet connectivity and the webmail URL for your role.
The mailbox is full
For quota errors, use the value displayed in your panel and review unnecessary mail and attachments. Confirm retention requirements before permanent deletion.
If the issue persists, prepare the app, device, time and error message. Do not send SSO passwords, App Passwords or private message content. Official contact route
